If your printer says Offline, Windows may not be communicating with it even though the printer is switched on. Work through these checks in order, testing the printer after each step. The exact menu names can vary by printer model and Windows update.
1. Check the printer itself
- Make sure the printer is powered on and has finished starting up.
- Look for paper, ink, toner, jam, or other error messages on its display.
- If it uses USB, check both ends of the cable and try another port if one is available.
- If it uses Wi-Fi, confirm the printer is connected to the network you expect.
If the printer shows a specific error, check the manufacturer’s instructions for that exact model before opening panels or attempting repairs.
2. Confirm Windows selected the right printer
In Windows 11, open Settings → Bluetooth & devices → Printers & scanners. Select the printer you want to use and confirm it is the correct device. If several similar printers appear, check the model name. If the printer is missing entirely, use Microsoft’s official printer setup and troubleshooting guidance or the printer maker’s support site.
3. Check the print queue
Open the printer’s queue from its Windows settings page. Look for paused jobs or an error message. If you decide to cancel stuck jobs, remember that doing so removes pending documents from the queue. Then try printing a short test page or a simple document.
4. Restart and run the troubleshooter
- Turn the printer off, wait a few seconds, then turn it back on.
- Restart your PC and check the printer again.
- Open Windows’ Get Help app or the printer troubleshooting option in Settings and follow the prompts.
Avoid unofficial driver-download sites and paid “driver updater” utilities. If Windows reports a driver issue, get the driver or instructions from the printer manufacturer’s official website.
5. If it still shows Offline
Check whether another computer or device can print to the same printer. If no device can reach a network printer, investigate the printer’s network connection or router. If only this PC has the problem, focus on its Windows settings and printer driver. Microsoft also provides steps for troubleshooting offline printers.
